MyCRM: how bought seller leads are tracked from New to Closed

Every exclusive lead you buy lands in MyCRM, the lead tracker inside your account. It has eight stages from New to Closed, follow-up dates, a timeline of your calls and notes, list and board views, filters and a CSV export. You can also request a refund from the lead.

What does MyCRM do?

It keeps every lead you bought, and every Data Pool property you add, in one place, so you can work each seller from the first call to a closing.

  • Bought leads appear on their own, with the seller's name, phone number and exact address that unlock when you buy.
  • Stages: move each lead along eight stages, from New to Closed.
  • Follow-up dates: set one on every lead. An overdue list shows what you forgot.
  • Timeline: log a note, call, text, voicemail, e-mail, appointment or offer on the lead.
  • Views: a list or a board, with search, filters, sorting and a source filter for exclusive leads or the Data Pool.
  • CSV export, and Request refund on a lead that is not as described.

If you use AutoMatch auto-buy, leads bought for you land in MyCRM the same way. A lead you hold with Save for me stays yours for 15 minutes while you decide. Check MyCRM daily so a bought lead never sits unworked.

What are the stages?

New, Contacted, Appointment, Offer or negotiating, Under contract, Listing referral, Closed and Dead. Move a lead only when something real happened, so your board counts conversations, not dials.

MyCRM stages, in order.
StageWhen to use it
NewYou bought the lead and have not reached the seller yet. Call the same day.
ContactedYou have tried or spoken to the seller. Set a follow-up date before you leave the lead.
AppointmentA walkthrough or a call is booked.
Offer / negotiatingAn offer is out and you are negotiating.
Under contractThe seller signed.
Listing referralThe home fits a listing better than a cash offer, so you pass it to an agent.
ClosedThe deal is done.
DeadThe seller said no, or the lead went nowhere. Keep the record and stop calling.
MyCRM stages, in order.

Keep a separate record of signed contracts and closings, so the two are never counted together.

How should I use follow-up dates?

Set a follow-up date on every lead after every attempt. A lead with no date is a lead you will forget. Filter by overdue, due today, scheduled or unscheduled to plan your day.

  • Never leave a lead in an early stage without a date.
  • Use short gaps in the first week, then longer ones once the seller says they are not ready.
  • Start each day on the overdue list, and sort by next follow-up.

What is a simple routine for a new lead?

Call the day you buy it, log the call, set a follow-up date and move the stage only when you have had a real conversation.

  1. Open the new lead in MyCRM and read the card again: why they sell, how soon, occupancy, repairs and equity.
  2. Call within the hour if you can. Speed matters most on a fresh lead.
  3. Log the call on the timeline, with what the seller said about timing and price.
  4. Set the next follow-up date before you leave the lead.
  5. Move the stage to Contacted after an attempt and to Appointment or Offer only when it is real.
  6. If the seller says no or asks you to stop, log it, mark the lead Dead and stop contacting them.

How do I request a refund from MyCRM?

Open the lead and choose Request refund within 5 days of buying it. Pick the reason, tell us what happened, and an approved request puts the price back in your wallet.

The window is short, so check new leads early. Each purchase gets one claim. A refunded lead cannot be bought again, but the seller's details stay in MyCRM: mark it clearly so nobody on your side keeps calling a seller you already reported. The full terms are in the refund policy.

Can I move my leads into another CRM?

You can export your records to a CSV file and import it into another system. That is a file transfer. It is not a live connection, and each export is a snapshot.

If you work in another CRM, export after each buying session and pick one system as the record of truth. Updating stages in two places is how leads fall through.

How should I handle seller details and exports?

Use them only to talk to the seller about the property. A CSV leaves our system, so store it securely, share it only with people who work the lead and delete copies you no longer need.

Once a lead is bought, you are responsible for following federal and state calling and texting rules, including Do-Not-Call lists. Your rights to use lead data are set by the terms of service and the data licence.
